1. 1. Consultation framework

The usage fee is free. In principle, the online consultation service can be used only by Kyushu University students and faculty members. However, related persons (guardians and faculty members) can also consult with students and faculty members. The staff of the Center for Health Sciences and Counselors (doctors, counselors, mental health welfare workers, staff with disabilities, public health nurses, etc.) will check the contents of the form provided by the consultees and will reply by email. We will reply to you within one week (weekdays) after receiving the reply. If you do not receive a reply within a week, please contact us.

2. 2. About consultation and advice using email

Consultations and advices using e-mails are temporarily provided as measures to prevent new coronavirus infectious diseases. We plan to return to face-to-face consultation after lifting restrictions on university activities. In addition, please note that we may not be able to provide consultation by e-mail if it is determined that the consultant may be suicidal or injured.

1. Consultation framework
The usage fee is free. The staff at the Center for Health Sciences and Counseling will read the emails from the consultants and will reply to them. We will reply to you within one week (weekdays) after receiving the reply. If you do not receive a reply within a week, please contact us.

2. About consultation and advice using email
Consultations and advices using e-mails are temporarily provided as measures to prevent new coronavirus infectious diseases. After removing the restrictions on university activities, we plan to return to face-to-face consultation only.
Please note that we may not be able to provide consultation by e-mail if the consultant determines that there is a risk of suicide or injury accident.

Please also note the following (1) to (3).

(1) Multiple staff members may exchange answers while sharing information. If you wish to move to face-to-face consultation after lifting restrictions on university activities, we will determine the person in charge again.
(2) Email communication is not encrypted and may not be suitable for exchanging confidential information.
(3) Communication using text such as e-mail is difficult to convey small nuances and may cause misunderstanding. Therefore, if you have any concerns about the content of the email from the person in charge, please do not hesitate to let us know.

3.Confidentiality of consultation contents
The content of the consultation will be kept strictly confidential. However, the staff at the Center for Health Sciences and Counseling as a team, and there is a case where information is shared between staff. In addition, for the purpose of enhancing the effect of support, we may share information with related departments if consent of the counselor is obtained. In addition, in order to improve management operations and services, we may use information that has been anonymized so as not to identify individuals as basic materials for business improvement and materials for on-campus activities. In order to provide more appropriate assistance, we may report the progress of the consultation to other experts in the form of disclosing detailed personal information and receive comments.

As an exception, depending on the content of the consultation, if there is a risk of suicide or injury case, or if there is a high risk of abuse or harm, it will be your family, Center for Health Sciences and Counseling doctor, supervisor. In some cases, we may contact hospital or police. Even in this case, we will endeavor to obtain the consent of the consultees in advance as much as possible.

4. Consultation record
The Center for Health Sciences and Counselors keeps a record of consultations and stores them in a database for contact records along with personal information such as contact information. This information is used by the Center for Health Sciences and Counselors to better understand the situation of the consultees and their aid, and the counseling record cannot be used for other purposes such as grade evaluation. There is none. In addition, only the staff at the Center for Health Sciences and Counselors can access the consultation records. The consultation record will be stored for 10 years after the last use.

5. Research activities
The Center for Health Sciences and Counseling conducts research and research activities to improve consultation activities and support effectiveness. Therefore, we may make research presentations to academic societies and academic journals by using the anonymized information that does not identify individuals.
